About us We're a profitable, fast-growing AI startup based in Berlin with millions of users worldwide.

Our work is grounded in neuroscience and international research, which sets us apart from most AI products on the market. The role You will work directly with our CEO and founder, who operates at a high pace across investment, partnerships, and international research collaborations.

Our product runs on a subscription model, and we're currently expanding into new areas: expanding our product, building out our own infrastructure, and partnering with leading digital platforms worldwide. Business communication is in English; a significant part of the role involves navigating German administrative and bureaucratic processes.

We need someone who takes full ownership of tasks and gets them done without being chased. If something hits a wall, you find a way around it or come back with options. The task split is 70% business, 30% personal.

What you’ll be responsible for: German bureaucracy & finances: calls with banks, insurers, tax authorities, and advisors; accompanying the CEO to Bürgeramt and other government offices; handling post; tracking expenses and receipts; managing health insurance for the family; sourcing and coordinating specialist consultants.

Research & analysis: taking a brief from the CEO and delivering a clear, structured result. Example: compare 3-5 asset management firms, break down fees and trade-offs, and present a final recommendation. Also includes vetting lawyers, brokers, contractors, and other experts.

Calendar management & travel support: full ownership of the CEO’s business and personal calendar; end-to-end travel logistics including flights, check-ins, mileage tracking, boarding passes, and calendar updates.

Communications & ops: managing email correspondence on behalf of the CEO in English; maintaining the contact database; tracking inbound communications and following up on time. What we’re looking for: 3+ years as a personal or executive assistant in a startup, tech, or entrepreneurial environment, SaaS experience is a big plus.

Solid experience handling German bureaucracy: taxes, insurance, banking, and administrative processes, both business and personal. Fluent in English and German, written and spoken. Strong written communication in both languages: you proofread carefully, especially when writing on behalf of the CEO.

Able to do deep, structured research and distill it into clear, actionable outputs. High attention to detail - you check your work before handing it over. What we offer: Salary: €3,000 – €5,200 gross. Work model: Hybrid - mix of remote, on-site and off-site work. Location: Berlin, Germany. Hours: 9 am – 6 pm, 5/2.
